Minutes of the Mon Menai Crown Green Bowling Association held at the Penrhos Arms Public House,Llanfair PG ON Thursday 22nd January 2015 commencing at 7.00pm.

Agenda:
Chairmans Welcome and Opening Remarks:
The Chairman welcomed everyone to the meeting which was in fact the first Annual General Meeting of the association. He made a special point of welcoming Kevin Williams who was making a four hour round trip from Macclesfield to attend.

Apologies for Absence:
The Secretary confirmed that apologies for absence had been received from Meilir Ellinson, Chris Taylor, Tim Halliwell, Dave Jones, Arwel Williams, Jonathan Jones, Adam Harris and Derek Stanley.

Condolences:
The names of Hwfa Roberts, Gwerydd Griffiths and Eric Bates were listed as having passed away over the last year.

Adoption of the Mon Menai Crown Green Bowling Association Constitution:
The Chairman confirmed that the association had need of a Constitution to open a Business Account with the bank and as such Garry Buckland had compiled one on behalf of the association. It now had to be formally accepted by the association, hence the reason it was listed on the agenda.

J G Davies proposed and Richard Harvey seconded that the Constitution should be accepted as written and this was unanimously accepted by all present.

Minutes of the 2014 Pre Season Meeting:
The Secretary confirmed that no formal minutes had been taken as this was basically just a meeting to confirm whether there was enough interest amongst local bowlers to enter and play in the Federation CGBA and then formally elect a committee to run the associations affairs.

Matters Arising from the Minutes:
As per item 5, there were clearly therefore no matters arising.

Hon Secretary’s Report:
The Secretary confirmed that he had entered Mon Menai into the Federation CGBA competition as he felt that local players needed the challenge of playing in a higher standard of bowling. He believed that there were players in the area who could hold their own in the competition the Federation CGBA would provide. He had a five year plan of which the first year had been to get enough sponsorship to ensure that Mon Menai could comply with the financial requirements needed in relation to affiliation fees, travel and refreshments costs. He had received substantial sponsorship before the start of the 2014 season and he thanked all the sponsors for the funds they had provided.

The 2014 season had been fairly successful with Mon Menai winning two and losing two of their four matches. He now hoped to build on the first season success. He went on to thank the Caernarfon, Llanfair PG, Bangor and Holyhead bowling clubs for making their greens available for the four home matches played. He also thanked Wetherspoons Caernarfon, the Penrhos Arms Llanfair PG, the Crosville Club Bangor and the Stanley Arms in Holyhead for the after match refreshments they had provided.

The season had not gone without its problems especially with the resignation of Garry and Gwerydd Buckland, which would be dealt with later.

This concluded his report whereupon the Chairman thanked him for all the hard work he had done over the last year.

Hon Treasurers Report:
The Treasurer had previously passed out copies of the 2014 accounts dated up to the 21st September 2014. This showed a credit balance of £ 596.33 which included an outstanding sponsorship cheque of £ 50.00 from the Holyhead Trinity Driving School (which had on the night now been passed to him by the Secretary)

He confirmed that the accounts had not been audited as he had only taken over as Treasurer mid - season from the previous Treasurer Stuart Thomas. He also had that day received confirmation from the Lloyds bank that he was now also mandated to sign cheques on the associations behalf.

There were a couple of discrepancies which needed clarification in that 37 players had played for Mon Menai over the 2014 season, but only £ 290.00 (£10.00 a shirt ),meaning 29 players had paid for their shirts. Ken Parry stated that he was one of the missing 8 players and duly paid £ 10.00 to the Treasurer. He also confirmed that the referee’s costs were low as the payment for the final three matches had only been made after the 21st September 2014.

This closed the Treasurers report.

Acceptance of the 2014 Balance Sheet:
Elfyn Jones Proposed and Barry Harris seconded that the Balance of Accounts for 2014 be accepted as shown and this was agreed by all present.

Team Managers Report for 2014:
The selectors reported that for their first season back in the Federation of CGB it had been a fairly successful, with the team winning two and losing two of their matches. They had won three of their home legs and won one lost two and tied one of their four away legs.

The best player was Barry Harris who played four (three home and one away). He won all four and had a plus aggregate of 48.

At this juncture the Chairman presented Barry with the Mon Menai Player of the season trophy for 2014.

Honoraria:
The Secretary and the Treasurer agreed to forgo any Honoraria for the past 2014 season.

Correspondence:
The Chairman confirmed that there was only one item of correspondence, namely a letter dated the 4th August 2014 signed by Garry and Gwerydd Buckland, resigning as members of the Mon Menai CGBA as of that date.

After it was read a short discussions accrued and it was generally agreed that the selectors were not to be dictated to in relation to who or who not they could select for the Mon Menai teams. Furthermore it was agreed that Garry or Gwerydd Buckland should not be selected for future Mon Menai teams “unless“they specifically stated that they were again available for selection. It was agreed that Dave P Williams who had also made himself unavailable, should also only be selected if he to informed the selectors that he was again available for selection.

Sponsorship 2015:
The Treasurer confirmed that two sponsorship cheques from Hughes Meats Ltd (for £ 100.00 ) and The Stanley Arms Holyhead ( £ 50.00 ) had already been received and banked. He had also received the cheque for £ 50.00 outstanding from 2014 from the Holyhead Trinity Driving School. He was in due course expecting cheques from Barry Harris and Bangor Tyres Ltd. He had been informed that Owen and Palmer Ltd of Holyhead were not renewing their sponsorship this year and he was also waiting to hear from Dylan Roberts. He requested that if anyone knew of any prospective sponsor that they inform him or the Secretary accordingly.

He confirmed that the current credit balance with the bank was £613.00.

Players Season Fees 2015 Season:
The Management had proposed a match fee of £ 5.00 per player for 2015 but after much discussion it was agreed that the match fee should be £ 2.00 per player per game. This would benefit the player( s) who only played one or two matches over the season

This was proposed by Ali Jones and seconded by Keith Bailey and passed unanimously by all present.

Home / Away Player Charges 2015:
The Chairman confirmed that this related to the charges to cover travelling and refreshment costs. Again after some discussion it was proposed that for the first match in April the Player Charge should be £ 10.00 per player playing home or away. If after the April match the committee felt that this could be reduced, then they had the power to implement a reduction.

The Chairman clarified that for the first match each player would have to pay £ 12.00 (£ 10.00 match fee and £ 2.00 registration fee ) with the payment of a Sweep Charge being optional to each player playing.

This was proposed by Elfyn Jones and seconded by Keith Bailey and accepted unanimously by all present

Any Other Business:
The matter of Penmaenmawr BC affiliating to Mon Menai was brought up and after some discussion it was agreed that it would not be in the best interests of the association for them to do so. It was agreed that any Penmaenmawr player could if they wish be considered for selection if they firstly joined a Mon Menai affiliated club as a country member.

The matter of an early season friendly was discussed. The Secretary felt that a match with East Lancs may not now be feasible and as such it was agreed that a friendly match between two teams made up of Mon Menai players should be played on the green on which the first Federation match v the UK Police was to be played on the 26th April 2015.

The Secretary confirmed the 2015 fixtures as being:

As there was no other business the Chairman thanked everyone for attending and closed the meeting at 8.30pm
